Procurement and Vendor Relationship Executive


Job Description:

  • Sourcing, recruiting, on-boarding new vendors related to raw materials, machines, packaging materials, international logistics related to food, beverages, nutraceuticals, supplements and herbals.
  • developing and sustaining long-standing relationships with company-approved vendors, suppliers, and contractors for food, beverages, machines, packaging, logistics, and other third-party contractors.
  • Meeting with suitable vendors to assess their products, inquire about their services, negotiate prices, and communicate any product or service-related concerns.
  • Conducting research on available vendors to determine which vendors offer the best pricing and product quality along with regulatory specifications.
  • Receive and analyse requisition from scientists and technicians  for food, beverages, nutraceuticals, supplements that are required for new product formulation
  • Inventory Analysis, Planning & Management
    Ensure food and beverage items are in stock at the appropriate time and in optimal condition, including items with short life spans like produce and dairy.
  • Receive, and verify accuracy and quality of orders before confirming receipt and contacting suppliers of incomplete deliveries and follow up to verify / confirm future delivery expectations.
  • Ensure food is properly stored and maintained, including proper stock rotation (i.e., FIFO) in fridges, freezers, etc.
  • Ensure a safe and sanitary environment adhering to industry standards for all foodservice storage areas.
  • Perform inventory counts on a regular basis, inputting inventory counts into the food management database and working with accounting to reconcile counts if there are questions.
  • Develop and maintain a food management database to keep accurate records of inventory, purchases and waste of food, beverages and supplies for the new product formulation
  • Use a food inventory management database to track food and beverages ordered, amounts used and costs.
  • Code invoices, forward to finance for processing of vendor payment and reconcile invoices weekly and/or monthly.
  • Coordinate the delivery and ensure receipt of food and beverage products and supplies.
  • Assist with and/or coordinate the preparation and storage of fresh produce for future use
  • Manage Logistics
  • Maintain updated records of Purchased Products, Delivery information and Invoice related documents.
  • Capable of dealing with critically challenging situations and constantly changing work environment.
  •   Provide information, pertaining to variances, for current profit and loss statements
  • Collate and authorize all payable items weekly
  • Review vendor accuracy for pricing, quantity, ship date, and other critical information against the WP purchase order
  • Input PO into the POS for the food and beverage manager to approve, and into Sage for finance to approve
  • Review freight and shipping information to align with CogsRaising timely Purchase Orders and doing regular follow up with the supplier/Vendor to ensure that the SUPPLIES ARE delivered on time.
  • Have to deal with non-Supplied , under orders, over orders and damaged goods
  • Responsible for Reports & Documentation with respect to ISO 9001: 2015 / FSSAI / ISO 22001
  • Collaborate with the Food and Beverage Services Manager to formulate a business plan for the projected fiscal year
  • Assist in the formulation of financial forecasts and budgets that apply to the Food and Beverage division
  • Attend operational meetings and planning sessions as required
  • Ensure delivery dates of products line up with the events and don’t interfere with the events using the shipping bay

Required Qualification: Post-secondary diploma in a relevant field of study that may include Culinary, Hotel and Resort with a food management component or pharmaceutical procurement / related field AND/OR an apprenticeship certificate in Culinary.
Required Experience:(2- 4) Years of relevant Experience in the Food & Beverages or pharmaceutical Industry purchasing and receiving.

Job Purpose:
your primary responsibilities will be purchasing, receiving, quality, storage, and utilization of food, beverage, nutraceuticals, supplements, and herbals supplies / products on behalf of FRL. In addition, they perform inventory control duties and lead invoicing / financial reporting for all food and beverage related goods for the product development/formulation. You will be liaising with the product development team, customers, sales, facility and accounts team to perform your duty.
Work Schedule:
Full Time, Monday to Saturday, 8:00a.m. to 5:00pm. Hours may vary on occasion, depending on workload.

Skills Required:

  • Excellent at managing vendor relationships
  • Experience in managing Procurement & Planning functions, preferably in the Food Services or FMCG industries
  • Able to work effectively within defined deadlines
  • Ability to generate and effectively implement plans / ideas
  • Possess and maintain current certification in safe food handling.
  • Demonstrated knowledge and experience working with a Food Management System and inventory software.
  • Excellent interpersonal, communication and customer service skills.
  • Strong problem-solving skills with a solution-focused approach.
  • Strong organizational and time management skills with the ability to prioritize tasks to ensure deadlines are met in an environment of conflicting deadlines and interruptions.
  • Strong organizational, planning, attention to detail and multi-tasking skills. This position requires the ability to exercise detailed planning and reconciliation
  • Computer proficiency required including advanced Excel, Word & Outlook, Office 365, Inventory Control and POS Systems
  • Ability to work early mornings, afternoons, evenings, and weekends to meet business needs
  • Ability to follow instructions & work independently is required
  • Self-directed with the ability to take initiative, work independently as well as within a team environment.
    Good judgement and decision-making abilities.
